USA Rugby Introduces Enhanced Certificate of Insurance (COI) Access for Clubs


We’re excited to announce a major enhancement to how USA Rugby members obtain Certificates of Insurance (COI). These updates are designed to make the process more accessible, transparent, and efficient for compliant clubs throughout the year—especially for those participating in fall competitions.
To access the COI feature, a club must first be compliant within the system. Clubs can check their current status in the Compliance tab. Compliance requires that annual club fees are fully paid, with no overdue Club Pays invoices, the club has at least one compliant coach, and there are a minimum of eight registered members. In addition, both the club and any parent entity must have a valid address listed under My [Entity] Details in order to use the feature.
Who Is Eligible?
Only compliant clubs can access the COI request feature. To qualify, clubs must meet the following requirements:
- Annual club fees are fully paid, with no overdue Club Pays invoices
- At least one compliant coach is listed
- A minimum of 8 registered members
- Both the club and any parent entity have an address listed under My [Entity] Details
This ensures that only active, properly maintained entities can request valid insurance documentation.
Audit Trail & Compliance
Every COI request now creates an on-screen audit trail, adding a new layer of accountability and visibility to the process. Because of this, clubs should only request a COI for their own entity and should not submit requests on behalf of another club or organization.
Please note: requesting a COI on behalf of another entity may invalidate the COI and could be considered a breach of the USA Rugby Code of Conduct.
Updated COI Expiry Dates
USA Rugby has now completed the transition of its insurance renewal date from August 31 to December 31. This means clubs participating in fall competitions can now obtain COIs at any time during the calendar year, rather than having to wait until mid-August.
For competitions taking place in or after January 2027, access to COIs is expected to begin in mid-December 2026, pending final confirmation from the insurer.

By staying compliant and keeping entity details up to date, clubs can take full advantage of this improved system and access COIs with greater flexibility throughout the year.
